Your legal texts
Write your own terms of use and privacy notice, preview a new version, publish it and, for a change that matters, ask everyone to accept it again.
Legal texts holds the texts that apply at your Operator: the terms of use, the privacy notice, the consents and your own policies. Each shows the version that applies and where it comes from: the Foundation or you.
Write your own version
Open a text and choose Write our own version. The draft starts from the text that applies now, so you change it rather than type it again. Write the Title and the Text in every language you offer. A language that is missing is marked, and the draft cannot be published until it is filled in. Add What changed, for the history of the text. Choose Save the draft.
Your legal details
The Foundation’s privacy notice speaks in general terms. Under Your legal details, at the end of Legal texts, fill in:
- [your legal name and registered address]
- [an email for questions about data]
- [your data protection officer, if you have one]
- [the data protection authority in your country, and its website]
- [how long you keep records, in each language you offer]
Choose Save in the draft, then publish the settings. The privacy notice lists them under its text. A field left empty keeps the notice’s general sentence. In your own version of the notice, add [the legal basis for each use of people’s data].
Choose Preview to read it as people will. Choose Discard the draft to throw it away. What applies now does not change.
Publish it
Choose Publish, then Publish version. It applies at once to everyone it covers. A published version never changes. A later change is a new version, and every version stays under Published versions.
For a change that matters to the terms of use or the privacy notice, tick Ask everyone to accept it again. Everyone it applies to must then accept it after they sign in, before they can continue.
Policies and partners
Choose Add a policy for a text of your own, such as a safeguarding policy. People read it, but do not accept it.
Under Operating partners, you can let partners publish their own legal texts. Their people then read the partners’ texts instead of yours. Save the choice to the settings draft, then publish the settings.
